What is a statement of work template?
A statement of work template is the structure a services firm fills in to fix an engagement before it starts: parties, scope in and out, deliverables, milestones, fees and payment schedule, assumptions, change control, acceptance and sign-off. This one publishes as a private link and is revised in place until the client approves it.
What is in the template
- Parties and dates. Who is engaging whom, the start date, the end date or the trigger that ends it.
- Background. Two paragraphs on why the work exists, taken from the proposal.
- Scope. What is in, as a list. Then what is out, as a list of the same length. The second list is the one that matters in month three.
- Deliverables. A table: the thing, the format, the date, who accepts it.
- Milestones and timeline. Dated, and tied to the payment schedule below.
- Fees and payment schedule. The total, the split, what triggers each invoice, payment terms.
- Assumptions. What you are relying on from the client: access, people, decisions by dates.
- Change control. How a request that is out of scope gets priced and agreed before it is done.
- Acceptance. How each deliverable is accepted, and how long the client has to say otherwise.
- Sign-off. Names, roles, dates, for both parties.
How to use it
- Publish it with the button. A private page in your account, nothing listed.
- Fill it from the proposal. The scope, dates and fees are already agreed; this document draws the lines around them. Edit the HTML, or give the template and the proposal to your agent and ask for the SOW in this structure.
- Write the out-of-scope list by hand. It is the one section a model will not write well, because it is the list of things you have learned to refuse.
- Send the link with a passcode. Revise in place as the client's questions come in.
- When it is approved, give it a date to come down or leave it up as the record. If the signature has to be legally binding, take the approved page into your e-signature tool.
